First Steps for Renting

Vacanceole.com is a holiday rental website offering over 130 destinations. Vacancéole Particuliers is a subsidiary of the Vacancéole group that manages the marketing, operation, and maintenance of your property.

Vacancéole Particuliers is for all property owners and real estate investors who wish to delegate the complete management of their properties, as well as tenant relations.

Your accommodation must be in good condition, and we also need 3 sets of keys at our disposal. These key sets will be useful for our cleaning team, our reception teams, and our guests. Additionally, it is possible to store your personal belongings in a secure place. Your valuables can be replaced within your accommodation. We strongly advise you to keep invoices for valuable personal belongings.

The required documents are as follows:

  • The signed and completed management mandate
  • A copy of the front/back of the ID of ALL signatories of the mandate
  • A copy of the latest property tax notice less than one year old or, failing that, an extract from the property deed
  • A copy of a valid home insurance certificate
  • A copy of the issued bank account details (RIB)

Upon signing the mandate, we conduct an inventory and a condition report of your accommodation, which we send to you for written validation before any initial rentals in your apartment. The handover of the three sets of keys will take place during this appointment.

Vacancéole Particuliers provides you with all professional guarantees to help you make your rental investment profitable, without unpleasant surprises. We do everything possible to optimize your occupancy rate and your income. Thanks to our concierge service, we ensure that your tenants’ stay goes as smoothly as possible. Our teams will provide hotel-quality cleaning services and linen supply.

As our contract is exclusive, you cannot rent out your property yourself.

This is not mandatory but highly recommended to facilitate the rental of your property. We will include it in your personalized property listing.

My Owner Account

Yes, you can change your bank account details (RIB) by contacting Vacancéole Particuliers at contact-particuliers@vacanceole.com.

Calendar & Bookings

Our Vacancéole Particuliers contract allows you to block your dates according to your availability, provided your apartment is not already booked by our clients. Therefore, you can freely access your accommodation.

Your listing will be distributed via Vacanceole.com and booking platforms such as Booking.com, Airbnb, etc. Vacancéole works with over 250 distributors, ensuring high visibility for your accommodation.

No, due to GDPR standards and to avoid any discrimination, we cannot provide you with this information.

Vacancéole Particuliers is responsible for the pricing policies of your accommodation. Our specialized pricing teams implement a dynamic pricing strategy aimed at optimizing your property’s occupancy rate. We set a minimum rate to guarantee your profitability.

Thanks to our teams, your accommodation is accessible from 5 PM on the same day.

My Rental Income

Rental payments are issued according to the conditions stated in your contract.

You will receive the total rental income generated (excluding distributor and cleaning commissions) for the period, minus our management commission applicable to your contract.

Maintenance & Guarantees

Property insurance is mandatory; you need at least PNO insurance (non-occupying owner insurance). An insurance certificate will be requested to complete your file.

For any stay in your accommodation, a deposit of €300 is systematically requested from our clients. If our teams discover damage, we will use the deposit. Therefore, you will not be responsible for the cost of the repair. VACANCEOLE Particuliers, as a tenant, has home insurance. In the event of a claim (water damage, fire, electrical damage, etc.) during a marketing period, we are responsible for reporting the claim to our insurer. Once the expert assessment is completed, we proceed with the restoration work alone or with the co-ownership syndicate. VACANCEOLE Particuliers manages claims from their appearance until their resolution.

When VACANCEOLE teams have to carry out repairs for damage not caused by a tenant, the service is reinvoiced to the owners and deducted from the rent. We have created a flat rate of €30 per hour for minor interventions; if a specialized company needs to intervene, the total amount will be reinvoiced to you (deduction from rent).

Yes, the owner can certainly carry out repairs in their property during the mandate period. However, if the damage prevents marketing, the property will be taken off the market until repairs are completed, which will impact rental income.

Taxation

As part of a management mandate contract, you will be responsible for: property tax, household waste removal tax, co-ownership charges, housing tax, and utility charges (water-electricity).

For all rent payments, you will receive a detailed breakdown of the transfer, excluding and including tax, from us. We will pay you the VAT amount (including tax) with each account statement. This must be declared annually.

Vacancéole is responsible for collecting and remitting the tourist tax.
